Get paid
Employers pay you, not JobClay. They buy packages of job posts and featured upgrades, by card through your own Stripe account or by bank transfer, and get an invoice for every paid order. JobClay takes no fee on what they pay; Stripe's own fees apply to card payments.
Only the board's owner can change the Payments page. Any admin can manage packages and orders.
Fill in your invoice details first
Employers cannot buy until your legal name and address are filled in, because every invoice prints them as the seller. To fill them in:
- Open Payments and go to Invoice details.
- Fill in Legal name and Legal address.
- If you have a tax number, fill in Tax ID label (such as GSTIN) and Tax ID.
- Change the Invoice number prefix and Credit note number prefix if you like; they start as
INV-andCN-. Numbers run 000001, 000002 and never restart. - Add an Invoice footer for anything else every document should carry.
- Press Save at the foot of the page.
An invoice keeps the details it was issued with, so a later change applies to new invoices only.
Set your tax
Under Tax on the same page, set the Tax name (such as VAT) and the Rate (%), where 0 means no tax line. Tick Prices include tax if your package prices already include it, and press Save. A change applies to new orders; orders already placed keep their tax.
An invoice shows one tax line, named and rated as you set here. It does not split the tax into parts or print a place of supply. If you need a code such as a SAC code, or a note such as EU reverse charge, write it in the Invoice footer.
Create your packages
A package is what an employer buys: job posts, featured upgrades or both, at your price. Set your currency on Region first, because it locks once you have a package. Then:
- Open Packages and go to Add a package.
- Fill in Name, Price (in your board's currency) and a Description.
- Set Job posts and Days each post runs.
- Set Featured upgrades and Days each upgrade runs. An upgrade features one of the employer's live jobs for its days.
- Set Credits valid for (days): unused credits expire this long after payment.
- Press Add package.
Under Your packages, Up and Down set the order employers see, Edit changes a package, and Hide stops selling it. A package with orders cannot be deleted, and orders already placed keep what they bought when you change it. Employers see your packages at /employer/packages/ on your board.
Credits belong to the employer's company, or to the employer when they have none. Company admins and independent employers buy them, and a company's recruiters spend the company's credits.
Free posting, at the top of Packages, decides whether employers must pay at all. A new board starts on Unlimited, where employers post free whenever they like, and credits they bought are still used first. Choose Off to make every job need a post credit, or a Monthly allowance to give each company some free posts a month.
Take card payments with Stripe
To take cards:
- On Payments, under Card payments, press Connect Stripe.
- Stripe opens. Give it the details it asks for. When you leave, Stripe sends you back to Payments.
- Read the status line:
- "Stripe needs more details before it can take payments." Press Continue setup.
- "Stripe is reviewing your details. This usually takes a few minutes." Press Refresh status a little later.
- "Your Stripe account can take card payments." You are ready.
- Tick Employers can pay by card and press the Save beside it.
Employers then pay on Stripe's own checkout page, and the money goes to your Stripe account. JobClay never sees card details. When Stripe confirms a payment, the order is paid, the credits reach the employer and the invoice is issued, with nothing for you to do.
Worth knowing:
- If your Stripe account's currency differs from your board's, the page says so. Payments are still taken in your board's currency, and Stripe may convert them at its own rate.
- Stripe India is by invitation only. If you cannot connect an account, bank transfer always works.
- A board that prices in Icelandic króna (ISK) or Ugandan shillings (UGX) cannot take card payments, so its employers pay by bank transfer.
To refund a card payment, refund it in your Stripe Dashboard. Stripe tells JobClay, which issues a credit note and removes the buyer's unused credits. A dispute you lose does the same.
Disconnect cuts your Stripe account from the board after you confirm with Yes, disconnect. Open card orders are cancelled.
Take bank transfers
To take transfers:
- On Payments, under Bank transfer, tick Employers can pay by bank transfer.
- In Payment instructions, write your account details and what to put as the reference. Employers see this on their order.
- Press Save at the foot of the page.
A transfer order waits under Orders, in Awaiting payment, and the Overview says how many are waiting. When the money arrives in your account:
- Open Orders, then the order.
- Under Mark paid, add a Note if you like, such as the transfer's reference, and press Mark paid.
- Press Yes, mark paid.
The buyer's credits are added at once, and only once, and the invoice is issued. If the money never comes, use Cancel order on the same page: the buyer gets no credits, and a cancelled order cannot be marked paid later.
Marked one paid by mistake? Open the order and use Issue a credit note. It issues a credit note for what is left of the invoice, removes the buyer's unused credits and marks the order refunded. You cannot undo it.
Invoices and credit notes
Every paid order gets one invoice, numbered with your prefix. Invoices lists them, each with Download PDF, and any credit note beside the invoice it corrects. Employers find their own invoices in the employer area.
An invoice never changes once issued. A correction is a credit note, and credit notes on one invoice never add up to more than its total.
