Job sources
A job source fills your board with jobs. JobClay reads it on a schedule, adds the new jobs, updates the changed ones and closes the ones it no longer lists. Sources live under Job sources in the console, and any admin can manage them.
What your plan's limit means
Each plan sets how many job sources a board can have, and Job sources shows how many you use against that number. Every source counts toward it: a company added from the library, and a source you switched off. When all are in use, the page says "Your plan's sources are all in use." and you cannot add another. Delete a source, or choose a plan with more under Billing; the pricing page shows each plan's number.
If the board moves to a plan with fewer sources, the newest ones pause and show "Paused by your plan". None is deleted, and their waiting jobs stay waiting.
Add a company from the library
The library lists companies whose job boards on Greenhouse, Lever, Ashby, Workable or SmartRecruiters JobClay can read, with how many jobs each has open. To add one:
- On Job sources, press Add from library.
- Narrow the list by Country, Field or Company name, and press Search. It starts on your board's country when the library has jobs there.
- Press Add beside the company.
The source runs daily, and its first run starts shortly. If your board has a country (set on Region) when you add the company, the source keeps only jobs in that country. The open job counts are checked weekly.
Add a company's hiring system
For a company that hires through Greenhouse, Lever, Ashby, Workable or SmartRecruiters:
- On Job sources, press the Add a source button for that system, such as Add a source: Greenhouse.
- In Board name, enter the name in the company's board address, such as
acmeinboards.greenhouse.io/acme, or paste the whole address. - For Lever, choose the Lever host: US or EU. For Lever and Ashby, fill in Company name, because they do not name the company in their jobs.
- Choose the other settings (below) and press Add source.
Greenhouse EU boards are not supported. A SmartRecruiters company is checked when you save, and one that lists no jobs is refused.
Add an XML feed
- Press Add a source: XML feed and enter the feed's Address.
- For an Indeed style feed, leave Another feed format empty. For any other format, name the Job element, then for each field the element that holds it.
- Press Preview to see the feed's first job as JobClay reads it, with the elements it found.
- Press Add source.
Add a careers page
For a company site with no feed, press Add a source: Careers page and enter the Page address. JobClay reads the page and the pages on the same site it links to, looking for JobPosting markup (the job data Google reads), and obeys the site's robots.txt. A run reads up to 100 pages, and a careers page runs daily at most.
Choose a source's settings
The add form and each source's Settings offer the same choices:
- How often to read it: Hourly, Daily or Weekly. A careers page runs Daily or Weekly. New sources start on Daily.
- On: untick it to stop reading the source.
- New jobs wait for my approval: imported jobs wait on Approvals instead of going live.
- Company: "Taken from each job", or one company for every job. Find it with Find a company first.
- Only jobs with these words and Skip jobs with these words: matched in the title, and in the description too with Look for the words in the description too.
- Most live jobs from this source: empty means as many as your plan allows.
- Only jobs in your board's country, Hide from search engines, Keep my edits, Use the posting date from the source and Close jobs on the source’s end date, each explained beside its box.
Press Save on a source's page to change them.
Where imported jobs go
An imported job goes live when there is room for it: within your plan's live jobs and the source's own cap. Imports never push out a job an employer or you posted; when a posted job needs room, the oldest live import goes back to waiting. A job with no room shows as "Waiting for room" and goes live when room frees up, which every run checks.
With New jobs wait for my approval on, new jobs wait on Approvals as "Waiting for approval". Press Approve on each, or approve all of one source's jobs at once with its "Approve all from" button.
When one opening reaches the board from two sources, or from a source and an employer's own post, it shows as one job. Its page under Jobs lists every source under Listed by, and Not the same job splits a wrong match.
Shape jobs with rules
On Rules, a rule changes imported jobs that match its conditions. Each condition is a field (Title, Description, Company, Location or A source field) and words, separated by commas. A rule takes one action: Give a term, Tag from a list, Set the work mode, Set a place or Skip the job, for Any source or one.
Press Test to run the rule alone over your 200 newest imported jobs and see up to 50 it would change; it saves nothing. Add rule saves it. Rules run in order on each new or changed imported job, and Re-apply to existing jobs runs them over the live imported jobs already on the board.
Runs and what to check
A source's page shows Live jobs, Waiting jobs, Apply clicks and Next run. Run now starts a run at once: at most every ten minutes, or once an hour for a careers page. Runs lists each run with its counts (seen, new, updated, unchanged, skipped, waiting and closed) and the errors it met.
When a run brings nothing in, it says why:
- the source could not be reached or read, with the error below it;
- the site's robots.txt asks crawlers not to read the page;
- no postings were found;
- every posting was skipped by a rule, a word filter, the country setting or an end date that has passed;
- every posting was already listed.
A source whose runs keep failing shows "Failing since" and a date on Job sources. Check its address, its settings and the errors under Runs, then press Run now.
To remove a source, open it and press Delete, then Yes, delete this source. Its live and waiting jobs close with it.
